Working with Quotes
Pipeline’s quoting system lets you create, edit, and send quotes to customers as part of the job workflow.Quote Lifecycle
Quotes move through these statuses:- Draft - Editable, not yet sent to the customer
- Sent - Delivered to the customer, awaiting response
- Accepted - Customer has accepted the quote
- Rejected - Customer has declined the quote
- Expired - Quote validity period has passed
Creating a Quote
From the job detail page:- Navigate to the Quotes section
- Click New Quote
- Fill in the quote details

- Customer - Pre-filled from the job (editable in Draft only)
- Date - Quote date (editable in Draft only)
- Expiry - Select quote validity period from the dropdown
- Address - Toggle between billing and service address
- Type - Switch between Quote and Estimate (Draft only)
- Task or item description
- Quantity
- Unit rate
- Total price
- Whether the line is chargeable
- Notes
Hiding line detail in a section
Some sections are better shown to the customer as a single figure. Travel, shipping and installation costs are the usual example - you want the customer to see what the work costs, not a breakdown they can pick apart line by line. Click the eye icon on a section heading in the quote editor. On the customer’s quote that section prints as one row with its name and total, and the heading in your editor changes to read “Total only on customer quote” so you can see at a glance which sections are collapsed. Everything else stays exactly as it was:- You still see every line, itemised, in the editor.
- The lines still flow through to job costing when the quote becomes a job.
- The quote’s total is unchanged - nothing is hidden from the arithmetic, only from the customer’s view of the detail.
Financial Summary
The quote header displays key financial metrics:- Cost - Total cost of quoted items
- Margin - Profit amount (Gross minus Cost)
- Margin % - Percentage profit
- Budget - Project budget limit
- Nett - Subtotal before tax
- Tax - Tax amount
- Total - Gross amount including tax
Sending a Quote
Once your quote is ready:- Review all line items and totals
- Click Send Quote
- The quote status changes to Sent and fields become locked
Quote Actions
- Preview - View the quote as a formatted PDF
- Clone - Create a copy of an existing quote
- Create Invoice - Generate an invoice from an accepted quote
- Export - Download as PDF
